Apprentice Receptionist – Skills For Work

Job Description:

Job responsibilities

  • Administration
  • To have a thorough knowledge of all practice procedures
  • To work in accordance of written protocols
  • Pulling/filing notes for surgeries and updating as necessary
  • Filing post in medical records
  • Fax and photocopy as requested
  • Reception
  • Receiving patients, consulting with members of practice team
  • Handing completed repeat prescriptions to patient and checking names and address.
  • Be able to cover all reception position as necessary
  • Appointments
  • Process appointment requests for today/future appointments from patients by telephone and in person
  • Deal with visits/requests
  • Computer
  • Registrations of new patients – computer data entry and medical records
  • Process patients’ changes of address – computer data and medical records (have knowledge of practice area)
  • Process repeat prescription requests in accordance with practice guidelines
  • Telephone
  • Have working knowledge of telephone/bleep system, during and after hours
  • Cover for telephonist when necessary
  • Other Tasks
  • Have working knowledge of telephone/bleep system, during and after hours

Working week - contracted hours / full time / part time: 
Monday - Friday; shifts to be confirmed.  Total hours per week: 30.00

Qualification and educational requirements:
Desired qualifications
GCSE (or equivalent) grades A*-C/9-4 in English and maths is desirable for this role.

  • Demonstrate good standards of numeracy and literacy
  • Able to use a range of basic IT packages including Microsoft Office packages e.g. Word, Excel and Outlook. 
  • Able to establish good working relationships with staff, patients and outside agencies
  • Ability to prioritise workload and remain calm and effective under pressure at busy times
  • Have a neat and organised approach to work, with high standards of accuracy and attention to detail
  • Can work as part of a team, under guidance, and on your own initiative

Personal qualities

  • Be reliable, with an excellent timekeeping and attendance record
  • Confident dealing with people at all levels
  • Have a friendly, optimistic, “can do” disposition
  • Able to maintain confidentiality
  • Take part in ongoing training to show continuing skills development
